How does your church process their maintenance requests or work orders?
If your church is using a legal pad, crossing your fingers, hoping and praying then you need a better system to track your work order requests and then follow through with them.
The Maintenance form can be used by your church employees or volunteers when they see a need for maintenance in the church or church-related buildings. This work request form helps the church to keep up with what needs to be fixed or repaired, another great way to communicate.
The form below for maintenance requests is a great tool to ensure that your work orders are completely in a timely manner. This form includes:
- Name and Address of Person Requesting Work Order
- Date and Time of Work Order
- Cell, Home and Work Phone and Email of Requester
- Entering the Property Questions: "Does work require us to enter property?", "If yes, can we enter property with key?", "If yes, are there days of the week or times of the day when our contractors SHOULD NOT enter?"
- "When did the problem start?"
- Explain the problem
- Please fill out additional work orders if you have any additional problems such as leaky faucets, running toilets, or mold.
- Reminder: Make sure your smoke and CO2 detectors have good batteries. Please be responsible and replace every 6-9 months.
- Internal Use Only: Received Date/Time/Initials
Communication is a must in any organization including churches, and one of the most efficient ways to communicate within your organization is to use forms, emails, etc. With the technology we have in this day and time there is no excuse for not communicating throughout your organization.
Use the work order template to keep your church organized and always in good working order. Have each church employee a file with these forms in it so if anything stops working properly they can notify the Maintenance Department through these forms immediately.
Every church has certain policies and procedures for their maintenance but you will definitely need a form or some effective way to communicate to make sure your church work orders are done in a proper time frame.
