The Church Cell Phone Use Policy below is available free to download and use as a tool for your church administrative office to create their own Cell Phone Use Policy and Procedure.
Some churches authorize their employees to have church cell phones for church-related business and the church pays the bills directly or reimburses the employees for the cell phone bill. These employees are usually the ones that do a lot of church business on the road or somewhere where they cannot use a phone of any kind. Of course, as we know, these actions are always passed through the Church Board for approval first for the church to open up a cell phone account or procedures are documented on how to reimburse employees for church cell phone usage.
In most cases, the Pastor(s) are required to have a church cell phone to make them readily available at all times to receive any call no matter what time of the day or night and they should always have the phone on them.
If your Church Board has authorized your Pastor(s) to have a cell phone, it is a good idea for the church to make sure the Church Board passes the purchase of a cell phone account with unlimited texts and minutes with no roaming charges.
The Purchase Authorization and Check Request Form below should be attached to your Church Cell Phone Use Policy so your church employees will know which form to use to access prior authorization or church check before making any church-related purchases such as a cell phone or cell phone accessories, etc.
The Check Request form for purchase authorization includes:
- Purpose (Authorization to Purchase, Debit and Credit Reconciliation, or Check Request)
- Date of Check Request
- Make Check Payable To...And Address
- Amount of Check
- Description of Item, Expense Category or Ministry Dept. and Cost
- Check Distribution Method (Distribute Through Church Office, Mail To-Address, and Phone or Email)
- Person Requesting Check
- Date Check is Needed
- For Debit and Credit Card Purchases (Current Balance, This Purchase, and New Balance)
